How to make the business case for a mobile coffee bar

We’ve set up coffee bars at over 2,000 events over the years, from packed exhibition halls and corporate conferences to PR launches and pop-ups. We know a mobile coffee bar is usually a pretty easy sell to your events and marketing teams. Getting it past the finance team tends to be the harder part.

Give the coffee bar a clear job before you ask for the budget. That shows finance what the spend is meant to deliver and gives your event team something to measure afterwards. Here’s how to put the case together.

What do you actually want the coffee bar to do?

Before you get into costings, decide what job the coffee bar needs to do at your event. Settle on a main objective and agree how you’ll measure it once the day’s over.

There are a few things a coffee bar can realistically support:

  • Footfall. People from your target audience stopping at your stand or walking into the activation.
  • Conversations that matter. Interactions with potential customers that reach a real point, like a product discussion or a follow-up request.
  • Opted-in leads or survey answers. People who choose to share information you need, or contact details, on terms you’ve agreed with them.
  • Guest experience. How visitors felt about the stand, the service and the brand after they left.

Freeman’s 2025 guide to event measurement makes the same point: you should set goals specific to your event and pick metrics that match. “Serve good coffee” is a task, but “start 120 conversations with people from our target sectors” is something you can genuinely plan for and measure afterwards.

Before you walk into an approval meeting

Write down:

  • the event objective
  • who you want to reach
  • your target number of interactions
  • the data or survey questions you actually need
  • who owns leads once the event ends
  • when follow-up happens

Hand this to stakeholders and they’ve got a proper plan to approve. And when you give the same notes to your stand team, they’ve got a brief for the day.

Building a cost-to-outcome case that holds up

Take the full amount you’re asking for, divide it by the outcome that matches your goal and you have a number stakeholders can actually weigh up.

Say you’re asking for £3,000 and aiming for 100 meaningful conversations. That works out at £30 a conversation. Decide what a “meaningful” conversation is before the event. A quick hello, a badge scan and a 10-minute product chat aren’t the same thing, so your definition might need to include a stated interest, like details taken and an agreement to follow up after the event.

Coffee gives people a reason to stop, but what happens next is down to how your team uses that time.

Footfall: giving people a reason to come over

At events, people make quick decisions about where to spend their time. Halfway through a long day at an exhibition, a properly made flat white is hard to say no to.

Put your coffee bar where people can see it while walking past, without hiding the rest of the stand. Leave enough room for a queue and your team can chat to people while their drinks are being made.

Dwell time: a few minutes your team wouldn’t otherwise have

Someone queuing for a coffee has a reason to stay put for a few minutes, and that’s the window your team has to say hello and get a conversation going.  

Brief your team on how to use that time well: who’s greeting people? How is a conversation getting handed to the right person? Being prepared means you can turn a busy coffee crowd into conversations that matter for your brand.

Branding: make the bar feel like yours

Put your branding on the bar, cups and uniforms, and even add it to your drinks with cappuccino stencils.

Plan the artwork alongside the rest of the stand so it all looks cohesive on the day. Include the baristas in your team briefing, too – they should know who they’re representing and how you want guests to be welcomed and spoken to.
